Forgacs Marine and Defence is a wholly owned subsidiary of the Civmec Group company who are an integrated multi-disciplined construction and engineering services provider to the oil and gas, metals and minerals, infrastructure and marine and defence markets.

Forgacs Marine and Defence has been established to support the Australian defence market through shipbuilding construction, ship re-fit & repair, specialist piping and mechanical work, surface protection and specialist insulation, vessel sustainment, civil and bulk earthworks and associated defence infrastructure.

We are currently looking for an experienced Site Administrator to join our ship re-fit project team on a casual basis located in Yamba Northern NSW. Reporting to our Project Manager, you will be responsible for a wide range of administrative and office support activities on the project.

Key responsibilities
  • General data entry and reporting
  • Prepare weekly time sheets and submit to payroll
  • Organise travel and accommodation bookings, registers and reports
  • Coordinate training and inductions for new personnel on site
  • Mobilise and demobilise all personnel arriving to and leaving from site
  • Maintain and manage the operational assets register
  • Ensure maintenance and upgrade of project data and statistics
  • Provide document control of drawings, specifications and transmittals
  • File documents and ensure accurate records management
  • Take minutes of meetings as requested by senior management
  • Assist engineers with work scheduling and procurement
  • Manage site purchase order system including reconciling invoices to purchase orders
  • Perform other general duties that may be necessary to suit operational requirements as directed
About you
  • Tertiary qualification in a related discipline
  • 3-5 years’ previous experience in a similar role
  • Knowledge of the marine industry will be advantageous
  • Strong problem solving skills and attention to detail
  • Ability to work autonomously in a fast-paced working environment
  • Excellent written and verbal communication skills
  • Strong communication and interpersonal skills
  • Exceptional time management skills
  • Microsoft Office Suite (Excel, word, PowerPoint)
